Position Overview:

The Event Coordinator is responsible for planning and executing JOYRide’s presence at public and private events. This role works closely with the owner to strategize and deliver memorable experiences that align with JOYRide’s mission. This position requires a proactive approach to planning and managing all aspects of our events from inception through execution. This role requires engagement with points of contact in the public arena, private individuals, and the JOYRide team to ensure JOYRide is well represented. The role includes flexibility, with 50% of the work being remote and some weekend availability required based on business needs.

Requirements

Key Responsibilities:

Event Planning & Coordination:

    • Submit applications for event participation, including parades, within specified deadlines.
    • Develop and implement detailed execution plans for events, covering logistics, timing, decorations, and staffing.
    • Collaborate with JOYRide management to coordinate event details and develop cost estimates.
    • Coordinate all details for private bookings, and special events, including scheduling, routes, and event timing.

Event Execution:

    • Recruit and coordinate driver support for private bookings, and community events.
    • Oversee trike transportation and charging logistics for off-site events.
    • Ensure all aspects of the event are executed per the agreed-upon plan, including decorations, giveaways, and swag.
    • Be at the event to ensure seamless execution and a positive guest experience.
    • Coordinate a debrief of each event to evaluate what went well and where we need improvement.

Collaboration & Communication:

    • Work closely with the Admin Assistant to schedule drivers and manage staffing for events.
    • Communicate effectively with JOYRide drivers, ensuring they are informed about schedules, routes, and event logistics.
    • Provide regular updates to the owner on event plans, progress, and outcomes.
    • Collaborate with Social Media Coordinator to promote event specifics on social media platforms.

Requirements:

  • Minimum 1-year experience in event coordination or hospitality, with an associate degree preferred.
  • Strong organizational and event planning skills, with attention to detail.
  • Exceptional communication skills, with the ability to collaborate with team members and community partners.
  • Creativity and resourcefulness to design engaging event experiences.
  • Proficiency with basic office software and online tools for scheduling and coordination.
  • Flexibility to work some weekends and evenings as needed.
  • Previous experience in event planning, community engagement, or hospitality is preferred.
